The idea the app is built on

The approval chain.

Most accounting software assumes the person entering data is the owner. On a job site it is the foreman, and the owner finds out a week later. This inverts that.

An expense, a purchase or a stock movement from their phone, with the receipt attached.

Invisible in the lists, no effect on balances, until it is approved.

Who, how much, and why — opened from your phone wherever you are.

The chain leaves a complete trail: who entered it and when, who approved it and when. Useful in itself — and useful again when the CRA asks how a number came to be, six years later.

Plenty of shops run both: QuickBooks, Sage or Wave for the filing, i-shim for the day. We are not asking you to replace the thing that keeps the CRA satisfied.

In Canada specifically

We wrote this section so you know before you install, not a month after.

Three tax administrations, not one

  • Five provinces run HST — Ontario at 13%, plus Nova Scotia, New Brunswick, Newfoundland and Labrador and PEI — collected by the CRA
  • Québec runs the federal GST plus QST, administered separately by Revenu Québec
  • British Columbia, Saskatchewan and Manitoba charge 5% GST plus their own PST
  • Registration is required past $30,000 in taxable revenue over four consecutive quarters — one federal threshold, and Québec mirrors it separately

We do not calculate or file any of it. i-shim gives you one tax-rate field per line, which you set yourself. It is simpler than the American mess — one rate per province rather than thousands of local jurisdictions — but it is still not a tax engine.

E-invoicing — Canada is the easy case

  • There is no mandatory e-invoicing law for business-to-business trade
  • The CRA accepts an invoice in any readable format — paper, PDF or EDI — as long as it carries the required tax information
  • Peppol-style exchange exists for federal procurement but is voluntary

So unlike Italy, Spain, Mexico or Japan, nothing here blocks us at the door. Our documents are still your internal records rather than something we transmit on your behalf — but in Canada that distinction costs you nothing.

Six years of records — and where our trail helps

  • The CRA expects business records kept six years from the end of the tax year
  • Electronic records must stay readable and retrievable for that whole period
  • The approval chain records who entered a transaction, when, who approved it and when
  • Period lock stops a closed month from shifting underneath you

That trail is genuinely useful in an audit. It is not a certified archiving solution and we make no claim of one — the documents you attach are stored and exported with the ledger, nothing more.

Payroll — nothing, and it is not close

  • No T4 or T4A, no source deductions, no CPP, EI or CPP2
  • No ROE, no WCB or WSIB handling, no provincial payroll variations
  • The built-in payroll engine is configured for Türkiye and Azerbaijan

Both official languages, actually

  • English is the app's source language — 11,763 strings
  • French is at 12,111 strings and 99.9% coverage — not a partial translation
  • Language is a per-user setting, so an anglophone owner and a francophone crew look at the same job on the same data
  • All 13 provinces and territories are in the app, along with 13 Canadian cities

Two honest wrinkles: the French is written for France rather than Québec, and the city list stores Montreal and Quebec City without their accents. Also, the customer/supplier ledger is labelled "Current Account" in English, which sounds like a chequing account — it means the running balance with that party. All known, all being fixed.

Where your data sits

    Which is why the default tax rate shows 20 rather than 5, 13 or 14.975.

    Written for France, not Québec. It is complete and correct, but the register is not local.

  • City names have no accents.

    "Montreal" and "Quebec City" rather than Montréal and Québec. Measured, being fixed.

  • No Canadian data residency.

    Servers are in western Europe.

  • No offline mode.

    Financial records write straight to the server because the approval chain needs one source of truth.

Us and the Canadian incumbents

An honest comparison starts with two admissions.

QuickBooks Online and Sage 50 were built with the Canadian market in mind and lead on GST/HST returns, Canadian bank feeds and CRA-ready reports. And here is the second admission, the one that costs us: Wave and FreshBooks are both Toronto companies, and Wave's accounting is free — so the permanently-free tier we lean on elsewhere is simply not a differentiator in Canada. What is left is the part they do not do: approval before a number becomes real, several sites in one account, and both official languages over one dataset.

Frequently asked

Does i-shim file my GST/HST return?

No. And in Canada that means three separate things we do not do: the HST return the CRA collects in Ontario, Nova Scotia, New Brunswick, Newfoundland and PEI; the QST return Revenu Québec administers separately; and the PST filings British Columbia, Saskatchewan and Manitoba run themselves. i-shim gives you one tax-rate field per line, which you set. Your accountant or your accounting software still owns the filing.

Is the sales tax situation really simpler than in the United States?

Yes, and we would rather say so than exaggerate our gap. In the US there are thousands of local jurisdictions and economic nexus thresholds per state. In Canada it is one rate per province and a single federal registration threshold of $30,000 over four consecutive quarters — with Québec as the notable exception, since QST is registered and filed separately even though the threshold mirrors the federal one. Simpler, but still not something we calculate.

Do I have to send e-invoices in Canada?

No, and this is the one place Canada is easier than most countries we have written up. There is no mandatory B2B e-invoicing law; the CRA accepts paper, PDF or EDI as long as the invoice carries the required tax information. Peppol-style exchange exists for federal procurement but is voluntary. So unlike Italy, Spain, Mexico or Japan, nothing blocks us at the door here.

How long do I need to keep records, and does i-shim help?

Six years from the end of the tax year. Electronic records have to stay readable and retrievable for that whole period. The approval chain does record who entered a transaction and when, who approved it and when, and the period lock stops a closed month from moving — genuinely useful in an audit. But we are not a certified archiving product and we do not claim to be.

Do you handle payroll, T4s or source deductions?

No. No T4 or T4A, no CPP, EI or CPP2, no source deductions, no ROE, no WCB or WSIB. The payroll engine inside the app is configured for Türkiye and Azerbaijan and is not usable here. Keep Wagepoint, Payworks, QuickBooks Payroll or your bookkeeper, and record the payment in i-shim.

Does the app actually work in French?

Yes, properly. French sits at 12,111 strings and 99.9% coverage — it is not a partial translation. More usefully, language is a per-user setting rather than a company setting, so an anglophone owner and a francophone crew work on the same job in the same data. One caveat: the French is written for France, not Québec, so the register will occasionally feel European.

Why isn't there a separate French-Canadian page on this website?

Because it would be a worse page, not a better one. We already publish a French page for France, and a second French page describing the same product would be close enough to it that search engines treat both as low-value duplicates — the exact pattern our own publishing rules forbid. The real Canadian difference is not the language, it is having three tax administrations. That belongs on one page, written properly, which is this one.

What is the approval chain?

A crew member records an expense, a purchase or an inventory movement from their phone. It stays pending — invisible in the lists, no effect on balances — until you approve it. You can reject, ask for an explanation, or hand approval to a site lead once being the bottleneck stops working.

Do you connect to my bank?

No. No feeds to Canadian institutions, no automatic categorisation. You import a statement or enter movements by hand. Every established Canadian accounting product does this and we do not.

Wave is free and Canadian. Why would I pay you anything?

Often you shouldn't. Wave and FreshBooks are both Toronto companies and Wave's accounting is free, so the permanently-free tier we lean on in other markets buys us nothing here. The reason to add i-shim is narrower: you have people spending your money away from the office and you want an approval step before it becomes a number, across more than one site. If that is not your problem, Wave is a fine answer.

I work in Ontario and Québec. Does that cause problems?

Not in the app — each company and location is set up separately with its own inventory, float and people, all 13 provinces and territories are there, and the crew can be in either language. It causes problems in your filing, which is exactly the part we do not touch.

Can I give my accountant the data?

Yes — one XLSX or CSV export with a period lock so a closed month cannot shift. There is no QuickBooks, Sage or Xero import format, no .IIF, and we file nothing.

Do you do quotes or estimates?

Jobs and cost centres, yes — tag expenses, inventory and equipment hours to a job and see what it actually cost. Customer-facing quotes with e-signature, no.

What does it cost?

There is a permanently free tier. Deeper features are a subscription, priced per storefront by Apple and Google, which is why we do not print a number here.

Where is my data stored?

On Google Firebase, with access enforced server-side: someone outside your company cannot read its data. Servers are in western Europe, not Canada. If a contract or a provincial public-sector rule requires Canadian residency, this is not for you today.

Does it work offline?

No. Financial records write straight to the server because the approval chain needs one source of truth. Only chat keeps a local cache.

Honestly — should I use this?

If you are a sole proprietor with no crew, no: there is nothing to approve, and Wave already does your books for free. If your pain is the GST/HST return, no — QuickBooks and Sage were built for that. Add i-shim if people spend your money on sites you are not standing on, and you want that approved before it lands.

Is there a contract?

No. Sign up, create a company, use it. The subscription is monthly and you cancel it in the store.
