Your crew spends money all day. You find out at month end.
A foreman records the expense, the invoice, the stock movement — and none of it is posted until you approve it. Inventory, customer balances, cash and jobs in one app, on your phone. Your accounting software keeps the books; this keeps you in control.
Free tier · no contract · iPhone, Android, Mac, Windows and the browser
Three engines, one app
Not three subscriptions and three copies of the same customer. Most small operations run an accounting tool, a spreadsheet and a group text. We replace the last two.
Bookkeeping
Everything that happens before your accountant sees it: recording, ordering, evidencing.
- Income, expenses and transfers between accounts
- Sales and purchase invoices, delivery tickets
- A ledger per customer and vendor with a statement
- Cash and bank balances that move as you work
- Period lock so closed months cannot shift
The return itself is your accountant's job — we prepare the file for them.
ERP
What enters the yard, what leaves it, what becomes something else.
- Stock in and out with weighted average cost
- Bill of materials, recipe and production order
- Inventory assigned to a named crew member
- Jobs and cost centers
- Equipment, vehicles, meter readings and fuel
Built for trades, workshops and retail — not for a factory floor.
CRM
At the level of the account, not the sales opportunity.
- Rating and tags on every customer and vendor
- Balance and statement on the same screen
- Directory and supplier network
- Two-sided reconciliation
- Check portfolio with endorsement chain
If you want a sales pipeline and marketing automation, this is not it.
What it actually does
These are screens in the app today, not roadmap promises.

The idea the app is built on
The approval chain. Most accounting software assumes the person entering data is the owner. On a job site it is the foreman, and the owner finds out a week later. This inverts that.
1 · The crew enters
An expense, an invoice or a stock movement from their phone, with the receipt attached.
2 · It stays pending
Invisible in the lists, no effect on balances, until it is approved.
3 · You get notified
Who, how much, and why — opened from your phone wherever you are.
4 · You decide
Approve, reject, or ask for an explanation; a rejection goes back with the reason.
5 · Then you delegate
Hand approval to a foreman so you stop being the bottleneck.
Who this is for
And who it is not for.Being honest here saves you more time than any feature list.
It fits if…
- People spend money on your behalf, away from the office
- You run two or more locations with separate numbers
- You want inventory, ledgers and cash on one screen
- You manage from a phone more than a desk
- Your crew speaks Spanish and you don't
Contractors · trades · workshops · small fleets · multi-location retail
It does not fit if…
- You need sales tax calculated or filed
- You need US payroll — W-2, 1099, withholding
- You need bank feeds and auto-categorisation
- Your bookkeeper works entirely inside QuickBooks
- You need US-only data residency
These are not delayed plans — they do not exist today.
In the United States specifically
Where the rules stand on 2 August 2026 — and where we stand against them.We wrote this section so you know before you install, not a month after.
Sales tax — our biggest gap in America
- Fifty states plus thousands of local jurisdictions, each with its own rate and rules
- Economic nexus after Wayfair — commonly $100,000 of sales into a state
- Illinois removed its 200-transaction test on 1 January 2026; other states keep moving too
- i-shim gives you one tax-rate field per line — nothing more
We do not calculate, track or file sales tax. No nexus tracking, no rate lookup, no return. Avalara, TaxJar or your accountant still own this entirely.
E-invoicing — the one place the US is easier
- There is no federal e-invoicing mandate, unlike Italy or Spain
- The DBNAlliance exchange network — Peppol and OASIS standards, UBL 2.x over AS2/AS4 — is voluntary
- Large buyers, federal agencies and GSA schedules increasingly ask for structured invoices
- Records are generally kept seven years
We are not on that network — but here it is our smallest gap, not our largest. i-shim stores the documents you attach and exports them with the ledger.
Payroll, W-2 and 1099
- No payroll runs, no federal or state withholding
- No W-2, no 1099-NEC and no 1099-K
- No new-hire reporting, no workers' comp handling
The built-in payroll engine is configured for Türkiye and Azerbaijan. Keep Gusto, ADP, Paychex or QuickBooks Payroll and record the payment here.
Bank feeds
- No Plaid connection, no automatic bank or card feeds
- No rules-based auto-categorisation
- You import a statement or enter movements by hand
In the US market this is table stakes for accounting software, and we do not have it. Worth knowing on this page rather than in week three.
English, states and one honest defect
- English is the app's source language — 11,763 strings written in English first
- All 51 states and DC are in the app, along with 31 US cities, correctly spelled
- But the customer/vendor ledger is labeled "Current Account", which in American usage sounds like a bank account
It means the running balance you keep with a customer or supplier. A known wording defect, being fixed. We would rather you read it here.
Where your data sits
- Google Firebase, with access enforced server-side
- Someone outside your company cannot read its data at all
- Servers are in western Europe
No US-only residency. If that is a contractual requirement for you, this is not for you today.
What we don't do
Nobody writes this on a sales page — so we do.This list is longer for the United States than for any other country we have written up. If any single line below is a hard requirement for you, please don't buy.
- No sales tax — calculation, nexus tracking or filing.
Fifty states and thousands of local jurisdictions; you get one rate field per line.
- No US payroll.
No W-2, no 1099-NEC or 1099-K, no federal or state withholding. The engine inside is built for Türkiye and Azerbaijan.
- No bank feeds.
No Plaid, no automatic sync, no rules-based categorisation.
- No accountant portal or ProAdvisor network.
No QuickBooks or Xero export format and no IIF — XLSX and CSV with a period lock.
- No estimates, proposals or e-signature.
Jobs and cost centers exist; customer-facing quoting does not.
- No DBNAlliance or Peppol connection.
Voluntary in the US, but if a large buyer requires it, we do not deliver it.
- No 1099 contractor tracking or year-end forms.
- Country presets exist for Türkiye only.
Which is why the tax default is 20 rather than a state-aware rate.
- No US data residency.
Servers are in western Europe.
- No point of sale.
- No sales pipeline or marketing automation.
- No offline mode.
Financial records write straight to the server because the approval chain needs one source of truth.
We add features constantly and some of this will change — but we do not promise dates. What you read here is the app as it is today, not a roadmap.
From install to first invoice
1 · Sign up
With your mobile number or email. No card.
2 · Create the company
Name, trade, state, city and currency — USD.
3 · Add a location
Even if it is one shop; locations are what separate the numbers later.
4 · Invite one crew member
The one who spends the most — and set permissions module by module.
5 · Enter one of each
An invoice and an expense — then watch the approval land.
If that takes more than fifteen minutes, that is our problem — write to [email protected].
Us and the US incumbents
An honest comparison starts with an admission.QuickBooks Online holds roughly two in five US small businesses, with Xero and FreshBooks taking much of the rest and Wave serving solo operators. They start from the accountant, the bank feed and the tax deadline, and they are plainly better at all three than we are. We start from the owner and the crew.

Frequently asked
Does i-shim calculate sales tax?
No — and in the US that is the single biggest thing we do not do. There are fifty states plus thousands of local jurisdictions, economic nexus thresholds (commonly $100,000 in a state) and rules that keep moving; Illinois dropped its 200-transaction test on January 1, 2026. i-shim gives you one tax-rate field per line. That is fine for a flat rate you already know; it is not a sales-tax engine and it will not tell you where you have nexus or file a return.
So who is this actually for in the US?
Owner-operators with a crew: contractors, trades, workshops, small fleets, retail with two or three locations. People whose real problem is not the return in April but the twenty things their crew bought this week. If your business is mostly e-commerce with multi-state nexus, we are the wrong tool.
Do you handle payroll, W-2s or 1099s?
No. No payroll runs, no federal or state withholding, no W-2, no 1099-NEC or 1099-K. The built-in payroll engine is configured for Türkiye and Azerbaijan. Run payroll where you run it today — Gusto, ADP, Paychex, QuickBooks Payroll — and record the payment here.
Do you connect to my bank?
No. There are no bank feeds and no Plaid connection. You import a statement or enter movements by hand. In the US that is table stakes for accounting software, so we would rather you knew it on this page than after you signed up.
What about e-invoicing — is that a requirement here?
Not federally. Unlike Italy or Spain, the US has no nationwide e-invoicing mandate. The DBNAlliance network (built on Peppol and OASIS standards, UBL 2.x over AS2/AS4) is voluntary, though large buyers, federal contractors and GSA suppliers increasingly ask for it. We are not on that network either — but here it is our smallest gap rather than our largest.
Then why would I use i-shim alongside QuickBooks?
Because they answer different questions. QuickBooks tells your accountant what happened last month. i-shim tells you, today, whether the $340 your foreman spent at the supply house passed your approval, what this customer owes right now, and what is left in the truck float. Plenty of shops run both.
What is the approval chain?
A crew member records an expense, an invoice or an inventory movement from their phone. It stays pending — invisible in the lists, no effect on balances — until you approve it. You can reject, ask for an explanation, or hand approval to a foreman once being the bottleneck stops working for you.
I run jobs in three states. Does the app understand states?
Yes, as location data: all 51 states and DC are in the app, along with 31 US cities, and each company and location is set up separately with its own inventory, float and people. What it does not understand is what those states mean for tax — see the sales-tax answer above.
Is the app in real English?
English is the source language — 11,763 strings, written in English first and translated outward. One honest wrinkle: the customer/vendor ledger is labeled “Current Account” in the app, which in American usage sounds like a bank account. It means the running balance you keep with a customer or supplier. Known wording problem, being fixed.
My crew speaks Spanish. Does that work?
Yes, and it is one of the more useful things here: fourteen languages over the same data. You work in English, your foreman works in Spanish, and you are both looking at the same job. Language is a per-user setting, not per-company.
Can I give my bookkeeper the data?
Yes — a single XLSX or CSV export with a period lock so a closed month cannot shift under them. There is no QuickBooks or Xero export format, no IIF, and no filing of anything.
Do you do estimates, proposals or job costing?
Jobs and cost centers, yes — you can tag expenses, inventory and machine hours to a job and see what it actually cost. Customer-facing estimates and proposals with e-signature, no.
What does it cost?
There is a permanently free tier that genuinely runs a small operation. Deeper features are a subscription, priced per storefront by Apple and Google — which is exactly why we do not print a number here.
Where is my data stored?
On Google Firebase, with access enforced server-side: someone who is not a member of your company cannot read its data. Servers are in western Europe, not the US. If you have a contractual US-only data residency requirement, this is not for you today.
Does it work offline?
No. Financial records write straight to the server because the approval chain needs one source of truth. There is a local cache for chat only.
Honestly — should most US small businesses use this?
Most should keep QuickBooks, Xero, Wave or FreshBooks as their books, because sales tax, payroll, bank feeds and the accountant relationship all live there and we do none of it. Add i-shim only if you have people spending money away from the office and you want approval and multi-location control on your phone. If you do not have a crew, you probably do not need us.
Is there a contract?
No. Sign up, create a company, use it. The subscription is monthly and you cancel it in the store.
How do I start?
Install it, create a company, add one location and one crew member, then enter one invoice and one expense. If that takes longer than fifteen minutes it is our problem — write to us.
I found a bug. How do I tell you?
There is a helper bee inside the app: type “feedback” to it and your message goes to the team with a screenshot attached. Or email [email protected].
